Registrar General Ghana Name Search: Check a Business Name via ORC

A Registrar General Ghana name search checks whether a proposed business or company name is already on Ghana’s register. Since the Companies Act, 2019 (Act 992), business names and companies are registered by the Office of the Registrar of Companies (ORC), not the Registrar-General’s Department, and the online search runs from the ORC name search page. A clear result is not approval: the Registrar gives the final approval of every name.

A step route for an ORC business name search: rank three names, open the search form, search with Exact Match then Contains, read near matches, screenshot with the date. It then forks into three results: no match (still not approval), a same or similar name (move to the next option), or a blank or broken page (contact ORC). Key facts give ORC's email, the company name endings and the five-year block on a dissolved company's name.

Three ranked name options

  1. Rank three names Keep a fallback in case your first choice is taken or too close to an existing name.
  2. Open the ORC form Use the name search link on the ORC name search page to open the search form.
  3. Search twice Run Exact Match first, then Contains on the distinctive word, so near matches show up. (Exact Match, Contains)
  4. Read partial matches A name should not be the same as, or similar in sound, look or word to, an existing name.
  5. Screenshot with date Save the result with the date visible and keep it with your filing pack.

Does the same or a similar name already appear on the register?

  • Nothing comes up: Final approval of names is given by the Registrar. A name can still be refused as undesirable.
  • Same or similar name: Move to option two, do not tweak the spelling.
  • Blank or broken page: Contact ORC instead of assuming the name is free.

Worth keeping to hand

  • Five years a dissolved company's name stays blocked for
  • LTD, PLC, LBG, PRUC, PUC company name endings
  • info@orc.gov.gh ORC contact email
  • Never pay a deposit or registration fee on the strength of a failed or ambiguous search.

What does a Registrar General Ghana name search actually check?

It is a lookup against the ORC database of business names. ORC describes the service as a check on the availability of business names in its database[1]. You type a proposed name and choose a search type: Exact Match, Starts With, Ends With or Contains.

So the search answers one narrow question: does the same or a similar name already appear on the register. It does not approve your name, and it does not reveal owners, tax position, filing history or whether the people behind a business are trustworthy. Treat the result as a gate, not a background report.

Who this page is for, and who it is not for

  • For: founders picking a trading name, company secretaries clearing a name before filing, and buyers, lenders or employers checking a Ghanaian counterparty exists on the register.
  • For: diaspora founders registering remotely who need to know which body and which portal to use.
  • Not for: legal advice on a trademark clash. An available business name is not automatically a name you are safe to trade under.
  • Not for: changing a personal name, which is a separate legal process, not a business-register task.

Does the Registrar General’s Department still register businesses?

No. The Companies Act, 2019 (Act 992) established the Office of the Registrar of Companies as a body corporate, with the object of registering and regulating all types of businesses, including business names, companies, incorporated private partnerships and professional bodies[2]. President Akufo-Addo launched the office on 22 July 2022. The Registrar-General’s Department was not abolished and keeps functions such as the registration of intellectual property rights, marriages under special licence and the administration of estates[3].

The Registrar-General’s Department says it was established under the Ordinance 1950 and became a department of the Ministry of Justice and Attorney General in 1961[4]. Many older guides and agents still use its name for business registration, but name searches and registrations now go through ORC.

How can I search for a business name in Ghana, step by step?

  1. Write three name options, ranked, so you have a fallback if your first choice is taken or too close to an existing name.
  2. Open the ORC name search page and use its name search link, which opens the search form at rgdonline.gegov.gov.gh/orc-app[1].
  3. Enter the name and choose a search type. Run Exact Match first, then Contains with only the distinctive word, so near matches show up.
  4. Review every result, including names that only partly match, because ORC says business names should not be the same as, or similar in sound, look or word to, existing names[1].
  5. Screenshot the result with the date visible and keep it with your filing pack.
  6. If the page will not load or returns nothing, contact ORC rather than assuming the name is free.

How do you reserve the name?

ORC lists name reservation as a separate service. Under section 22 of Act 992, the Registrar may reserve a name pending registration on payment of the prescribed fee. A reservation lasts up to two months and may be renewed for a further two months, and no company may be registered under the reserved name or one the Registrar considers similar to it[2]. ORC’s 2026 fee schedule has no separate line for name reservation, so confirm the amount with ORC before you pay[6].

What does a clear search not guarantee?

  • Approval: ORC states that the final approval of names is given by the Registrar[1].
  • Similar names: a name can be refused if it is the same as, or similar in sound, look or word to, an existing name, or is undesirable or misleading[1]. No exact match does not rule out a near match.
  • Recently dissolved companies: a company cannot be registered with the name of a company dissolved within the preceding five years[2].
  • Names in other languages: these must be interpreted to the Registrar[1].
  • Trademarks: the name search checks ORC’s business register, not trademarks, which sit with the Registrar-General’s Department[3].
  • The right ending: a private company limited by shares must end its name with “Limited Company” or “LTD”, a public one with “Public Limited Company” or “PLC”, and a company limited by guarantee with “Limited by Guarantee” or “LBG”[2].

Verify Africa’s site footer names Ashley Hargreeves Limited, a UK-registered company, and the page does not claim to be affiliated with ORC[7]. You can request a register search from ORC directly.

A worked example on cost

Say you are vetting three Ghanaian supplier companies before releasing a contract. At ORC’s 2026 fee for a companies register search excluding charges and insolvency, three searches come to 3 x GHS 30.00 = GHS 90.00[6]. Run the online name search on all three first, then decide which need a formal search.

What if the portal will not load or returns nothing?

Older third-party pages describe earlier portals, including an eGov Registrar-General’s Department search page. The current search is the one linked from ORC’s name search page, so check the date on any guide that sends you elsewhere.

  • No result is not proof the name is free. The index may simply not match your spelling, so try shorter forms and variants.
  • Unreachable portal: retry outside peak working hours, then change network or browser before concluding the service is down.
  • Still blocked: email or call ORC, or visit the office.
  • Never pay a deposit or a registration fee to a counterparty on the strength of a failed or ambiguous search.

How do you verify a Ghanaian company before you pay or partner?

The register also helps with due diligence: is this business really registered under the name it gives you? Work through these steps in order.

  1. Ask for the exact registered name, not the trading name, plus the certificate of incorporation and the Taxpayer Identification Number.
  2. Run the online name search on the exact registered name and record what it returns.
  3. Check that the name ending matches the company type claimed, for example LTD for a private company limited by shares.
  4. Match the directors and signatories on the documents against the people you are dealing with.
  5. If credit, a large payment or a public contract is at stake, pay for a formal register search with ORC.
  6. For an NGO counterparty, ask for its ORC registration certificate; ORC registers entities including churches, schools and NGOs[3].

How do you choose a name that will pass?

  • Be distinctive, not descriptive. A generic trade-plus-city name is more likely to clash with an existing name than a coined word.
  • Avoid near misses. Changing one letter or adding “Gh” to a registered name still risks refusal as a name similar in sound, look or word.
  • Check the ending separately. Act 992 sets the ending by company type: LTD, PLC, LBG, PRUC or PUC[2].
  • Secure the digital name the same day: domain and social handles.
  • Confirm the reservation fee with ORC. The reservation period is set by law: up to two months, renewable once for two more[2].

Try this today

Write your three candidate names, open the ORC name search page and search each one twice: once with Exact Match and once with Contains on the distinctive word. Screenshot every result with today’s date on screen. If your first choice is taken or close to an existing name, move to option two instead of tweaking the spelling, then reserve the name and confirm the registration fee and forms with ORC. Our government and public sector directory helps you find the right office to reach, and our legal services directory lists firms that can advise on name and trademark clashes.

Frequently asked questions

How do I change my name in Ghana?

Changing a personal name is not done through the business register or the ORC name search. It is a separate legal process, so confirm the current steps and documents with a lawyer or the relevant public office before paying any agent. To rename a registered company, Act 992 requires a special resolution and the Registrar’s written approval[2].

The online name search form asks only for a name and a search type and shows no payment step[1]. ORC’s 2026 fee schedule lists GHS 30.00 for a search in the business name or partnership register and GHS 30.00 for a companies register search excluding charges and insolvency, so ask ORC which searches attract those fees. Registration is charged separately: the schedule lists GHS 130.00 for a business name and GHS 585.00 for a company limited by shares (with constitution, Form 3 and beneficial ownership profile), plus 1% capital duty on stated capital[6].

Can I download Ghana’s company register as a dataset?

ORC’s website does not offer a free download of the register. Its 2026 fee schedule does list paid bulk searches of the business name, partnership and companies registers, priced by volume band[6], so ask ORC what the output contains before you order.

What happens if my preferred name is already taken?

Move to your second ranked name rather than altering a letter, because the registrar compares names for confusing similarity. Act 992 also bars registering a company under the name of a company dissolved within the preceding five years[2]. If the holder looks dormant and the name matters commercially, take legal advice before building a brand around it.

Is the name search different for a sole proprietorship and a limited company?

The online search checks names in the ORC database, and ORC applies the same rule against names that are the same as or similar to existing ones. If your preferred name matches a business of a different type, ask ORC whether it blocks your application, because final approval rests with the Registrar[1]. The documents you file afterwards differ by entity type, so confirm the correct registration form with ORC once the name is clear.

How do I know a company verification provider is official?

Check who issues the output. ORC is the statutory registrar[2]; anyone else is a reseller. Verify Africa, for example, names a UK-registered company, Ashley Hargreeves Limited, in its site footer and lists its own price of USD 30.00 for a Ghana company validity check[7]. That is a commercial fee, not an ORC charge.
